A physical inventory count that doesn't take all weekend

A physical count is how you prove the inventory number on your books is real. Done badly it eats a weekend and still doesn't tie. Done well it's fast and boring — which is exactly what you want.

Prep is 80% of it

Count it cleanly

Use a blind count where possible — counters record what's physically there without seeing the expected quantity, so the system number doesn't bias them. For high-value or high-volume items, count twice with different people and compare.

Reconcile the variances

Back in the spreadsheet, put expected vs counted side by side and compute the difference. Flag the gaps with Conditional Formatting and sort by dollar impact — a handful of items usually explains most of the variance. For each real gap, find the cause (receiving error, shrinkage, miscount, unrecorded sale) before you adjust, so you're fixing the process, not just the number.

Stop doing one giant count: cycle counting

Instead of one painful annual count, cycle count — count a slice of items every week on a rotation, weighting high-value/high-movement items more often. You're always roughly current, you catch errors while they're fresh, and you never lose a weekend.

Across multiple locations

The real difficulty isn't one count — it's keeping counts consistent and visible across sites without end-of-day phone calls. That's the problem IMS Made Simple was built for: live, multi-location inventory visible to every team member, with physical-count and move-inventory tools built in.
